This Refund Policy explains when and how you can receive refunds for Insentify, LLC ("Insentify," "we," "our," "us") subscriptions, add-on purchases, and services. By subscribing to the Service, you agree to this Refund Policy.
IMPORTANT: Refund eligibility depends on the type of subscription plan you selected, the type of card involved (physical or e-card), and whether a card is part of your base allocation or purchased as an add-on. Please read all applicable sections carefully.
1. Definitions
The following definitions apply throughout this Refund Policy:
- "Card" means any greeting card (physical or electronic) that you are entitled to send through the Service as part of your subscription allocation or as an add-on purchase.
- "Physical Card" means a physically printed and mailed greeting card.
- "E-Card" means an electronic greeting card delivered via email or SMS.
- "Base Allocation" means the number of Physical Cards and E-Cards included in your subscription plan for a given billing cycle (monthly or annual).
- "Add-On" means an additional Physical Card purchased beyond your Base Allocation for a given billing cycle.
- "Billing Cycle" means the recurring period for which you are billed — monthly plans renew on the monthly anniversary of your signup date, and annual plans renew on the annual anniversary of your signup date (a "billing-anchored" cycle).
- "Monthly Plan" means a subscription that bills on a monthly cycle.
- "Annual Plan" means a subscription that bills on a 12-month cycle and is charged in a single upfront payment.
- "Unused Card" means a Card from your Base Allocation that has not yet been scheduled, produced, printed, mailed, or delivered at the time of cancellation. Add-Ons, once purchased, are considered used or committed and are not "Unused Cards."
- "Used Card" means any Card that has been scheduled, produced, printed, mailed, or delivered, or that is in active processing at the time of cancellation.
- "Trial Window" means the period beginning when you first subscribe to an Annual Plan and ending when the first Card under that Annual Plan is submitted for printing or e-card delivery, whichever occurs first. Once any Card has been submitted for fulfillment, the Trial Window has ended.
2. Refund Rules for Monthly Plans
Monthly Plans are fully refundable for Unused Cards. If you cancel a Monthly Plan:
- You will be refunded for any Unused Cards remaining in your current billing cycle on a pro-rata basis
- The pro-rata refund is calculated based on the per-card value of your plan, as disclosed at checkout
- Physical Cards and E-Cards are refunded at their respective per-card values. The per-card value for each is set by the plan and displayed at checkout
- Your subscription will not renew, and you will not be charged again
- Add-On purchases are non-refundable once purchased (see Section 4)
Example: You subscribe to a Monthly Plan for $14 that includes 1 Physical Card and 3 E-Cards per month. Using the per-card values disclosed at checkout, unused allocation at the time of cancellation is refunded on a pro-rata basis. Exact per-card values are disclosed to you at checkout before purchase.
3. Refund Rules for Annual Plans
3.1 Within the Trial Window (before your first Card is sent)
Annual Plans are fully refundable at any time before your first Card has been submitted for printing or e-card delivery. If you cancel during the Trial Window:
- You will receive a full refund of your Annual Plan payment
- Any Add-On purchases made during the Trial Window are non-refundable once the Add-On has been scheduled, produced, or delivered (see Section 4)
- Your subscription will terminate immediately
- This full-refund option is available only once per customer per Annual Plan
Example: You subscribe to an Essentials Annual Plan for $129 (12 Physical Cards + 36 E-Cards). You have not yet sent any Cards. You cancel on day 12. Refund = full $129. Once any Card has been submitted for printing or e-card delivery, the Trial Window ends and Section 3.2 applies.
3.2 After the Trial Window (after your first Card is sent)
Once any Card under your Annual Plan has been submitted for printing or e-card delivery, the Trial Window has ended and Annual Plan payments are NON-REFUNDABLE. Specifically:
- You may cancel auto-renewal at any time, which prevents any future charges
- Your subscription and access to remaining Cards in your Base Allocation will continue until the end of your current annual term
- No refund will be issued for Unused Cards remaining in the annual term
- Unused Cards at the end of the annual term expire and do not carry over (subject to Section 3.4)
- Add-On purchases are non-refundable (see Section 4)
Example: You subscribe to a Family Annual Plan for $319 (36 Physical Cards + 96 E-Cards). On day 12, your first scheduled Card is submitted for printing — at that point, the Trial Window ends. Six months later, you cancel auto-renewal. No refund is issued. Your account remains active and you can continue using your remaining allocation until the end of your 12-month term. Auto-renewal is canceled, so you will not be charged next year.
3.3 Why Annual Plans Are Structured This Way
Annual Plans are priced at a significant discount compared to the equivalent Monthly Plan in exchange for a yearly commitment. The Trial Window gives you the opportunity to fully refund your purchase if you decide before any Card is sent that the Service is not for you. Once any Card has been submitted for fulfillment, your commitment is required to maintain the discounted annual pricing. If you prefer full refund flexibility, we offer Monthly Plans.
3.4 Rollover of Unused Cards
At this time, Unused Cards do not roll over between billing cycles or past the end of your subscription term. In the future, we may introduce rollover as a plan feature. If we do, the specific rollover terms (including any cap or expiration date) will be disclosed at the time you purchase or renew a plan that includes rollover.
4. Add-On Purchases
You may purchase additional Physical Cards ("Add-Ons") beyond your Base Allocation within any billing cycle. Add-On pricing follows a sliding scale that resets at the start of each billing cycle; exact Add-On prices are displayed to you before purchase.
Add-On refund rules:
- Add-On purchases are non-refundable once purchased, except in the limited circumstances described in Section 7 (Defective or Undelivered Cards)
- Because Add-Ons are small, discrete purchases with an immediate commitment to fulfill a specific additional card, they are treated as one-time transactions
- If you purchase an Add-On and have not yet scheduled it to a specific recipient or occasion, you may request a refund within 24 hours of purchase by emailing hello@insentify.com
- If you cancel your subscription while you have unscheduled Add-Ons in your balance, those Add-Ons will expire at the end of your current billing cycle
5. What Is Never Refundable
The following are not eligible for refund on any plan:
- Cards (Physical or E-Card) that have been scheduled, processed, produced, printed, mailed, or delivered
- Cards in active production at the time of cancellation
- Add-On purchases beyond the 24-hour window described in Section 4, except in cases of defective or undelivered cards (Section 7)
- Setup fees, if any, disclosed at checkout
- Third-party shipping upgrades, expedited delivery fees, or premium card add-ons that have been used or are in progress
- Charges for billing cycles prior to your current billing cycle
- Annual Plan payments after the Trial Window has ended
- Any Cards scheduled for dates beyond your coverage horizon (see Subscription Agreement Section 9)
6. How to Request a Cancellation or Refund
To cancel your subscription:
- Log into your account at insentify.com and use the cancellation option in your account settings, or
- Email hello@insentify.com with "Cancellation Request" in the subject line
If you are eligible for a refund under Section 2, 3.1, or the 24-hour Add-On window, the refund will be initiated automatically upon cancellation. If you believe your refund was not calculated correctly, email hello@insentify.com within thirty (30) days of cancellation with your order details.
7. Defective or Undelivered Cards
If a Card you ordered (whether from your Base Allocation or purchased as an Add-On) is defective, materially damaged upon receipt, or is not delivered within a reasonable time, contact us at hello@insentify.com within thirty (30) days. We will, at our discretion:
- Reproduce and re-send the card at no additional cost
- Issue a credit for that Card toward your account
- Refund the per-card value for that specific Card
Delivery delays caused by inaccurate recipient addresses you provided are not eligible for refund or replacement.
8. Chargebacks
If you have a billing concern, please contact us at hello@insentify.com before initiating a chargeback. Chargebacks filed without first attempting to resolve the issue with us may result in suspension or termination of your account. We reserve the right to dispute chargebacks and provide the payment processor with documentation of your Service use and our refund policy.
9. Subscription Plan Changes
If you switch between plan tiers (e.g., Essentials to Family) or between billing frequencies (e.g., Monthly to Annual), the following rules apply:
- Upgrades and downgrades take effect at the start of your next billing cycle, unless we indicate otherwise
- Unused Cards from your prior plan do not carry over to your new plan (subject to Section 3.4)
- Add-On purchases do not transfer between plans
- If you switch from an Annual Plan to a Monthly Plan during the Trial Window, the rules of Section 3.1 apply to the Annual Plan portion
10. Changes to This Refund Policy
We may update this Refund Policy from time to time. Changes do not apply retroactively to cancellations initiated before the effective date of the change. For existing subscriptions, material changes to the refund policy will not affect your current term; they will apply only to subsequent renewals or new subscriptions.
